A badge label costs a few cents, so printed visitor badges feel almost free until you add up the misprints, the ribbon or print head replacements, and the printer that has to be bought and replaced every few years. Offices that switch from handwritten stickers often have no idea whether they are spending five cents or fifty cents per visitor, which makes it hard to compare suppliers or decide whether badges are worth it at a low-traffic location.

This calculator takes your monthly visitor count, the cost of a single label, your reprint rate, any monthly consumables, and the printer's purchase price and expected life. It counts the badges you will actually print in a year including reprints, prices the labels and consumables, spreads the printer cost evenly over its lifespan, and divides the total by your annual visitors. The result is a fully loaded cost per visitor you can put next to a sticker roll or a quote from another vendor. Staff time is not included so the number stays a pure hard cost.

How to use this tool

  1. Take your monthly visitor count from your sign-in log and enter the per-label price from your last label order.
  2. Estimate how often badges get reprinted, add any monthly ribbon or ink spend, and enter the printer price and how long you expect it to last.
  3. Read the cost per visitor and compare it with a sticker roll or a different printer and label combination.

What the math assumes

  • Every visitor gets exactly one badge, plus the reprint percentage you enter on top of that.
  • The printer cost is spread evenly across the years of life you enter, with no salvage value and no financing cost.
  • Consumables are treated as a flat monthly amount regardless of how many badges you print.
  • Staff time to print, hand over and collect badges is not included; this is a hard cost only.
  • Visitor volume is assumed to be the same every month of the year.

Frequently asked questions

How do I find the cost per label from a roll price?

Divide the price of the roll by the number of labels on it. A roll that costs $18 with 300 labels works out to $0.06 per label. If you buy in cases, divide the case price by the total label count.

Is a printed badge cheaper than a handwritten sticker?

Per unit, a plain sticker is usually cheaper, but the gap narrows as volume rises because the printer cost gets spread over more visitors. Run the tool with your numbers and compare the cost per visitor to your sticker price to see where you land.

What reprint rate should I use?

If you do not track it, count reprints for a week. Offices with self-service sign-in and name confirmation on screen tend to see fewer typos than desks where staff type names from memory, but you should use your own observed rate.

Should I include the tablet or kiosk in the printer cost?

No. This tool is about badge printing only. Keep the printer, its stand and cable kit in the printer price, and leave the tablet to the sign-in payback calculator.
