Why does the calculator treat digital sign-in savings as staff time instead of headcount?
Most small offices do not eliminate a receptionist when they add a tablet; the person simply gets minutes back for other work. Valuing the minutes at the hourly rate is the most honest way to show that without promising a salary you will not actually cut.
What if my net annual savings come out negative?
That means the subscription costs more than the labor time it saves at your volume. The tool will show no payback. You may still want the software for security or compliance reasons, but you should not justify it on time savings alone.
Should I include the badge printer in the hardware cost?
Include it if you plan to buy one as part of the switch. If you already print badges or will not print them at all, leave it out so the payback reflects only new spending.
How do I estimate staff minutes saved per sign-in?
Stand at the desk for an hour on a normal day and time five or six paper sign-ins from the moment the visitor arrives until the host has been reached and the visitor is badged. Take that average, subtract the time staff will still spend greeting and handing over a badge with a digital system (often around a minute), and be honest about time spent chasing hosts who do not pick up.
